CONCUR CLIQBOOK - REQUEST A CLIQBOOK ACCOUNT

First time users must contact Global Excellence Inc to request a Cliqbook account and temporary password before Cliqbook can be accessed and used. An individual Cliqbook account is required for the traveling employee, the supervisor approving the trip, and, if applicable, the support staff (travel assistant) making the travel arrangements.
 

LOGIN INSTRUCTIONS

Enter the employee’s departmental e-mail address under User Name. An underscore is required between the first and last name (e.g. john_doe@travel.com). Next, enter the temporary password assigned by the Travel Policy Section. Check “Remember user name on this computer” and click on the Login button.

Users must complete their Personal Profile before attempting to book a trip:
  1. From the Concur Cliqbook Home Page, click on Profile.
  2. From the Profile submenu, click on Personal Information

Required Information – Employees must verify existing information:

  1. First, Middle, and Last name
  2. “S” number
  3. Supervisor’s Name
  4. Work address

Due to airport security, the name on your driver’s license must match the name on the ticket. Contact the Travel Policy Section if your name is incorrect on your Cliqbook account.

When finished entering the information, click Save. There are several Save buttons on the Profile page. Travelers only need to save once, as every Save button saves the entire profile.

HOTEL RESERVATION

1. Input dates and location. Click search button to search for the nearby hotels.

2. Select a hotel and a room that is at or below the state lodging rate.

4. Check “I agree to the hotel’s rate rules, restrictions, and/or cancellation policy” and clickrate and cancelation.

5. When making a hotel reservation, employees are required to provide their personal credit card to reserve the hotel room. Reimbursement of the lodging costs is will be made when the employee submits the original hotel receipt with the Travel Expense Claim.

6. Input your credit card information and click save card info to save your credit number.

7. The last 4 digits of your credit card will display in the dropdown box. Click reserve hotel to reserve the hotel.

CHANGE OR CANCEL RESERVATIONS

Travelers may be required to either change or cancel reservations due to changing circumstances. All changes or cancellations must be made either on-line through Cliqbook or by contacting the Department's travel agency. This should be done prior to leaving for the airport. Travel counselors at GLOBAL EXCELLENCE are available from 8:00 a.m. to 6:00 p.m. EST, Monday through Friday and may be reached at (401) 732-8080or toll-free at 1-800-339-3600. Employees must not make changes directly with the airlines.
 

To change/cancel a reservation in Cliqbook:
 

1. Logon to Cliqbook
 

2. Select “Upcoming Trips”

3. Select “Change Trip” to change or “Cancel Trip” to cancel
 

4. To cancel your entire trip, click the Trip Library link at the top of the Cliqbook home page. When a trip is cancelled and the ticket is refundable, the ticket will be voided or refunded depending on the “Rules” of the ticket. If your ticket is non-refundable, and it is cancelled in accordance with the airline rules, the ticket will be retained that can be applied to future trips.

5. Click Actions to the left of the trip you wish to cancel, select Cancel Trip, and then click OK.

 

ADD A HOTEL/RENTAL CAR TO RESERVATION

To add a hotel/rental car to my reservation:

  • Login to Cliqbook.
  • Select “Upcoming Trips”.

  • From the itinerary screen: Hotel and rental car can be added to the reservation.

CLICK ON “TRIPS AWAITING APPROVAL” TO VERIFY YOUR TRIP IS PENDING FOR APPROVAL.

CHANGE PASSWORD

Users should immediately change the temporary password to a personal password:

  1. From the Concur Cliqbook home page, select Profile from the menu at the top of the page.
  2. From the Profile sub-menu, select Change Password.
  3. Enter the old (temporary) password and the new password in the designated fields.
  4. Verify the new password by reentering it in the Reenter Password field.

Enter a word or phrase in the Password Hint field to act as a reminder when the password is forgotten and then click Save. After a successful log in, the Travel Center page will appear. From the Travel Center page, users must complete their personal profile.
If you cannot remember the password, use the password retrieval link on Cliqbook Welcome Page OR call GLOBAL EXCELLENCE at (401) 732-8080 or 1-800-339-3600. A password reset can take as long as 24 hours depending on if the password is forgotten or if failed login attempts exceed the maximum allowed.

 

DESIGNATING A TRAVEL ASSISTANT

Each Cliqbook account allows the traveler to designate one or more travel assistants authorized to make travel arrangements on his or her behalf. When designating a travel assistant, the traveler must designate an individual who has a profile in Cliqbook.

  1. On the My Concur page, click Profile on the menu at the top of the page.
  2. On the Profile dropdown menu, click Personal Information.
  3. Scroll down to “Assistants and Travel Arrangers

  4. Click “Add an Assistant” to search for your assistant’s last name.
  5. In the Search Criteria field, enter the assistant’s name. Hint: When searching, use the following format: LastName, FirstName (no spaces). For example: Smith,June

  6. Check on “Can book travel for me” and/or “Is my primary assistant travel”
  7. Click “Save” and the Travel Assistant’s name will display on the “Assistants and Travel Arrangers” section.

The designated Travel Assistant can make reservations for others from his/her account.

 

MAKING RESERVATIONS AS A TRAVEL ASSISTANT

To make travel arrangements for an employee traveling on COMPANY  business, the designated travel assistant should:

  1. Login to Cliqbook using his/her personal account.
  2. Upper right corner of screen will contain a dropdown ““You are planning travel for”. In the drop down list select the appropriate traveler.
  3. Once the appropriate traveler has been selected, the reservation process may begin.

Cliqbook allows travelers the ability to purchase, change or cancel travel reservations on-line. Travelers should not contact the emergency service outside of business hours except in a true emergency. The emergency service offers after-hour and weekend service which is to be used for emergency situations only. The company will incur additional service fee for this service; therefore, it is only to be used in an emergencies.

Flight changes are made at the last minutes at the airport for employee’s convenience will not be reimbursed by the Department.
